BusyBusy overview

BusyBusy was founded in 2010 by Isaac Barlow in St. George, Utah, to bring time tracking and job costing to construction crews. The company raised an $8.5 million Series A led by Caterpillar in 2017, was acquired by ToolWatch in December 2023 (backed by private equity firm The Riverside Company), and now operates under the Align Technologies brand with roughly 107 employees.

Their stated focus: "The #1 Time Tracking App for Construction and Remote Industries." In practice, the product runs deepest on job costing, materials, and equipment tracking.

BusyBusy feature analysis

During our hands-on free trial review, we worked through BusyBusy's signup and onboarding, added workers with different permission levels, used the mobile and web apps, clocked time against projects and cost codes, configured geofences, explored Supervisor Tools and Kiosk Mode, corrected time cards, reviewed payroll and reporting workflows, and inspected the available integrations.

Two things became clear. BusyBusy has more construction-specific depth than its simple clock screen suggests, particularly for supervisors, job costing, and project reporting. But much of that value depends on the office configuring projects, cost codes, schedules, permissions, and GPS rules correctly before the crew starts using it.

The product gives administrators strong correction and reporting tools; whether the underlying data is clean still depends heavily on how consistently workers use the fields.

Sign-up, onboarding, and worker invitations

BusyBusy's administrator signup is a five-stage process: Account, Profile, Company Setup, Business Needs, and Time Tracking. The questions are not just introductory. They establish the company information BusyBusy needs before it can configure features such as GPS rules, permission levels, cost codes, and payroll settings. We found it more useful to think of this as initial system configuration than lightweight onboarding.

Once setup is complete, BusyBusy offers three next steps: schedule a one-on-one walkthrough, open the app, or watch a Quick Start video. In-app guidance and live chat are available immediately, and the trial exposes the Pro and Premium features available to explore.

The dashboard itself is clean and avoids intrusive pop-ups beyond the chat window. One detail could cause confusion during rollout: the "Take me to the app" option opens the web application, not an app-store page. That is different from the worker invitation flow.

When we added a worker, BusyBusy sent an automatic text message and, when supplied, an email containing the username, temporary password, and a mobile download link. Adding a worker is otherwise quick: enter a name, assign a role, add a phone number, and send the invitation. The weakness appears if the worker does not act promptly. The invitation link expires after 24 hours, and we could not find a way to resend the original automatic invitation after the account had been created. Adding an email address or phone number later did not retrigger it. At that point, the administrator must pass over credentials manually and direct the worker to the app store.

For a large or less tech-confident crew, that creates avoidable follow-up work before anyone has recorded a shift.

Daily mobile clock-in and job switching

The mobile experience changes substantially according to the user's permissions. A basic worker gets a focused clock screen with the Clock In button front and center. A supervisor sees additional crew-management, editing, and reporting tools. That split is sensible for field adoption: workers can stay inside a simple punch workflow, while supervisors can access the deeper product without placing every option in front of the crew.

A basic clock-in with no required fields takes one or two taps. When the company requires more detail, the worker taps Clock In, selects a project, chooses a sub-project if applicable, selects a cost code, assigns equipment if needed, adds an optional description, and saves.

If a scheduled shift already includes a project and cost code, BusyBusy pre-populates those fields. That reduces manual entry, although the benefit depends on the office building accurate schedules in advance.

Switching work during a shift follows a similar pattern: open the clock control, choose the new project and cost code, and save. The day's total time continues running while BusyBusy moves subsequent hours to the new work classification. The workflow is straightforward, but it remains dependent on the worker remembering to switch and choosing the correct records. BusyBusy makes mistakes editable later; it does not remove the need for accurate field input.

Beyond the clock, workers can review their time cards, schedule, bulletin items, and other features their permissions expose. Supervisors see a much denser navigation. BusyBusy's flexibility is real, but the apparent simplicity of the first screen does not reflect the amount of configuration and training a supervisor may need.

GPS and geofence controls

BusyBusy's GPS tools are primarily verification controls rather than automatic clock triggers. A location stamp attached to a time entry shows where a worker was when they punched. It does not automatically start the clock when the worker arrives or stop it when they leave.

We configured a geofence from the project record by positioning four corner points on a map. There was no field for entering a simple radius such as "200 feet from this address"; the boundary is placed visually. That gives the administrator some control over the site shape, but the result depends on how carefully those points are drawn.

The On-Site Verification setting has two materially different states. When it is turned on, clock-ins from outside the boundary are blocked. When it is off, the clock-in is accepted but flagged for a supervisor to review. The default in our trial was off. The onboarding flow did not explain this distinction, so an administrator could assume the geofence is enforcing a boundary when it is only recording exceptions.

BusyBusy also does not automatically clock a worker out after they leave a geofenced area. It can send a reminder, but the clock continues running if the worker ignores it. Teams whose main problem is forgotten clock-outs should test that behavior carefully rather than assuming the geofence will correct it automatically.

The practical takeaway is that BusyBusy can help verify whether a punch occurred at the expected site, but it still relies on configuration, worker action, and supervisor review.

During a trial, test inside and outside punches with On-Site Verification both enabled and disabled, and confirm how scheduled versus unscheduled shifts behave before using the results for payroll or disputes.

Supervisor Tools and crew clock-in

Supervisor Tools was the strongest construction-specific workflow we tested. A foreman receives a separate mobile view that can clock crew members in or out, switch their project or cost code, manage breaks, assign equipment, and review current totals from one phone. This accommodates crews where one supervisor manages punches instead of assuming every worker will use an individual device correctly.

The crew-selection screen uses a searchable checkbox list. A supervisor can build a crew that is saved locally on the device, so the same group appears again without being reconstructed each day. Bulk actions sit behind the three-dot menu in the top-right corner. The supervisor applies one project and cost code to the selected group, while equipment can be assigned individually to each worker.

That structure should work well for crews starting the same job together, particularly when individual phone use is impractical. The trade-off is that a single project and cost code applies to the bulk action. Crews splitting across tasks still need more deliberate handling, and the quality of the resulting job-cost data depends on the supervisor switching people at the right time.

Kiosk and offline operation

Kiosk Mode turns a shared phone or tablet into a punch station. Workers select their name and complete any required checks, which can include a PIN, a photo, or a PPE scan, before clocking in. A kiosk can be limited to the workers, projects, and cost codes associated with one site instead of exposing the entire company list.

BusyBusy supports offline kiosk use. When the device loses its connection, an Offline notification bar makes the state visible to workers. That is useful on remote or partially covered jobsites, although teams should still test a full offline-to-online cycle and confirm that every punch synchronizes correctly after the connection returns.

Photo verification records an image at clock-in, but it does not provide a live mismatch alert to the manager. Identifying a different person using the account requires reviewing the photo-verification report after the fact. That makes the feature an audit tool rather than a real-time block against buddy punching.

BusyBusy's own kiosk guidance also recommends powering the device down regularly to clear memory. That is a small operational requirement, but it matters if a company expects to mount a tablet at a gate and leave it running continuously.

Web administration, time cards, and payroll preparation

BusyBusy's web application is designed primarily for administration. The main dashboard shows workforce status, including who is clocked in, on break, or clocked out, alongside current hours, labor cost, overtime, GPS information, equipment activity, and field reports. It does not display a prominent personal Clock In button.

To clock in from the web, a user must open My Status and find the button in the top-right corner. The distinction becomes logical once learned: My Status contains the individual's time card, schedule, hours, photos, and web clock, while dashboard provides a company-wide operating view. The onboarding flow did not explain that separation, so a new user trying to punch from the web may initially look in the wrong place.

The left navigation is extensive, covering time cards, payroll, employees, projects, cost codes, photos, documents, scheduling, maps, budgets, reporting, settings, and other modules. Most labels correspond to recognizable construction workflows, but the depth creates a real learning curve for an administrator starting from a blank account.

Time-card correction is one of the web app's more complete workflows. Administrators can add, edit, split, or delete entries and change the project, cost code, equipment, description, and start or end time. Payroll then groups the pay-period review, signatures, approvals, and available checks before the data moves into a payroll or accounting system.

The distinction between payroll preparation and payroll processing is important. BusyBusy's core workflow prepares and exports time data; BusyPayroll is a separate service that processes payroll. The navigation places the two concepts close together, which makes them easy to confuse during evaluation.

These correction tools are useful, but they also reveal the product's central dependency. If workers choose the wrong project or forget to switch cost codes, someone in the office must repair the time cards before payroll and job-cost reports can be trusted. BusyBusy provides strong cleanup controls; it does not guarantee clean entries at the point of capture.

Projects, cost codes, job costing, and reporting

Projects form the backbone of BusyBusy. Time entries, GPS settings, schedules, budgets, reporting, photos, documents, and field activity all connect to the project record. Cost codes add a second layer that records the type of work performed, rather than showing only the total hours charged to a job.

The consistency of that structure is a genuine strength. A scheduled assignment can carry the project, cost code, equipment, location, and office instructions into the worker's mobile view. The same time entry can then feed payroll preparation and job-cost reporting. Companies with disciplined project and cost-code records should get substantially more value from the system than teams that start with vague job names and incomplete coding.

The Map was one of the most immediately useful web views in our test. It overlays job and punch locations so an administrator can check whether recorded activity aligns with the expected site.

Budget views compare planned labor and equipment usage with recorded time and cost. Reports can be filtered by project, worker, cost code, equipment, day, or date range. BusyBusy also connects field documentation to the project record. Photos, notes, video, shared documents, plans, forms, fillable PDFs, checklists, and field reports can live with the job instead of remaining in personal camera rolls or separate folders. Managers can scope reports by worker and combine activity across multiple days.

The reporting depth is meaningful, but the output is only as reliable as the information captured upstream. One punch can support payroll and job costing at the same time; one incorrectly tagged punch can affect both. Buyers should evaluate not only the available reports but also how much office maintenance is required to keep their inputs accurate.

BusyBusy integrations

BusyBusy lists integrations with QuickBooks Online and Desktop, Sage, Procore, Foundation, Viewpoint, CompanyCam, ADP, Paychex, FreshBooks, CMiC, Microsoft Dynamics, Zapier, and other systems. File-based exports are available for accounting or payroll products that can import BusyBusy's data.

Our hands-on work covered the integration settings and setup paths; we did not complete an end-to-end payroll or accounting transfer. That distinction matters. Seeing an integration in the settings menu proves availability, not that employee, job, cost-code, and payroll mappings will work without additional configuration.

QuickBooks Online appears to be the lighter setup path, beginning under Settings and Integrations. BusyBusy's documented QuickBooks Desktop process is more involved: it uses a separate integration package, requires the Web Connector on the QuickBooks computer, and includes manual payroll-field mapping. Existing BusyBusy projects may also need to be archived when QuickBooks Desktop becomes the source of truth for jobs.

Before committing, teams should run one representative pay period all the way from worker punches through approval and into their accounting or payroll system. Record the setup time, manual mapping, exceptions, and any file reformatting required. That provides a more useful measure than the number of integration logos on the page.

Hands-on feature takeaways

BusyBusy's feature set works best when the company treats implementation as an operating-system setup rather than simply downloading a time clock app. Its strengths become clearer after projects, cost codes, permissions, schedules, and supervisor workflows are configured. Its weaknesses also become clearer: much of the automation still relies on people choosing the right records and responding to reminders.

BusyBusy does track GPS and gate clock-ins to a geofence. The gap our research found is in the detail. The breadcrumbs are periodic pings rather than a continuous trail, and 8 contractors told us the route shows only 'the way a crow flies' instead of the roads actually driven. Another 8 flagged the geofence itself: it's a fixed circle that can't follow an irregular site, so workers standing on the job get marked off it. Workyard records continuous road-level GPS and lets you draw polygon geofences to any shape, so test the two side by side on your most awkward site if payroll or client disputes hinge on a defensible location trail.
