FAQs
Can Typeform collect data offline at remote job sites?

No. Typeform forms load and submit only when an active internet connection is present. If a crew member loses signal mid-form, the browser will keep trying to submit until the connection returns, but nothing is cached for true offline use.

For projects in rural areas or on underground levels where coverage drops, this means you risk incomplete submissions or frustrated workers. Construction managers that need guaranteed capture in dead-zone locations should consider an alternative with native offline mode (e.g., GoCanvas or Workyard), then sync back to the cloud once crews are online again.

How many responses can we collect before upgrading plans?

Typeform imposes account-wide monthly response caps: 100 on Basic, 1,000 on Plus, and 10,000 on Business. Once you hit the ceiling, new respondents see a “form closed” notice until the next billing cycle or you purchase add-on responses/auto-upgrade.

For seasonal peaks—say, onboarding dozens of subcontractors in one week—monitor the dashboard’s response meter and set email alerts so you’re not blindsided during a critical data-collection push. Large GC firms often jump straight to Business or Enterprise tiers so busy months don’t halt intake.

Can we attach site photos or PDFs—and how big can they be?

File-upload questions unlock on Plus plans and higher. Each individual upload is capped at 10 MB on Plus/Basic and 20 MB on Business or Enterprise. Crews can add multiple photos by inserting additional upload fields, but heavy imagery (e.g., drone footage) will bust those limits quickly.

If your safety forms routinely include large, hi-res pictures, you’ll either compress images in the field, pipe uploads to Google Drive via Zapier, or choose a platform with higher per-file quotas.

How do we auto-route safety checklists to Google Sheets or our PM tool?

Native integrations make this a few-click job. Inside the Connect panel, choose Google Sheets, authorize your Google account, and Typeform creates a sheet with columns for every question—new submissions flow in as rows instantly.

For more complex workflows—e.g., sending an inspection to Procore or Monday.com—use Zapier or Make. These tools watch for new Typeform responses, then create tasks, upload PDFs, or ping Slack without writing code.

Is Typeform HIPAA-compliant for incident or injury reports?

HIPAA support is available only on Enterprise plans that include Business Associate Agreements, SSO, dedicated data centers, and audit controls. Lower-tier plans are not HIPAA compliant, so recording protected health information (e.g., medical evaluations after an on-site injury) would violate regulations.

If you need PHI-grade security but don’t want Enterprise pricing, consider alternatives offering HIPAA at lower tiers or host your own secure solution.

Can we build an approval workflow for incident reports?

Typeform itself can’t collect a supervisor’s digital sign-off, but you can stitch together approvals via Zapier: a submission triggers an email, Slack DM, or Trello card where the foreman adds comments or clicks an “Approve” button, then Zapier updates status or notifies the next approver.

For multi-step chains—safety officer → project manager → HR—you’ll set conditional paths in Zapier AI Flows and store sign-offs in a shared sheet or database. It works, yet requires external automation and may incur extra Zapier tasks.

What happens if we exceed our monthly response quota mid-project?

Once your account reaches its response limit, Typeform pauses all forms: visitors see a polite “This form is closed” message. You can

  1. wait until the next monthly reset,
  2. purchase one-time response packs, or
  3. enable auto-upgrade so Typeform bumps you to the next tier and invoices pro-rata.

For construction firms that spike during bidding seasons or compliance audits, plan head-room into the budget or choose software with unlimited submissions to avoid costly downtime.
